TERMS AND CONDITIONS
Annual Society for Animation Studies Conference 2025 Terms and Conditions
Tickets: A valid ticket is required for all attendees, including those presenting a paper or a screening. If more than one person is presenting a specific paper or screening, then each individual is required to purchase a ticket.
Early bird tickets are only available during the promotional period as outlined on the registration booking form, and will not be offered after this date. Concessionary tickets are only available to qualifying persons, as identified on the registration page. Failure to provide proof of eligibility, if requested, may lead to the cancellation of the ticket without a refund.
Costs and payments: The prices for attending the Conference are as listed on the registration booking form. The ticket price also includes the provision of lunch and scheduled refreshment breaks across the four days of the Conference. All other costs associated with attending the Conference, including but not limited to, accommodation, transport, and additional subsistence, are the responsibility of the delegate and are not covered by the ticket price.
UAL reserves the right to offer further optional activities outside of the regular Conference hours which may be made available to interested delegates for an additional charge.
Payments for the Conference will be made via UAL’s eStore. By registering for the eStore, you agree to the eStore Terms and Conditions and the Privacy Policy contained therein (the “eStore T&Cs”). In the event of any conflict between these Terms and Conditions and the eStore T&Cs, these Terms and Conditions shall prevail. We reserve the right to refuse entry if full payment has not been received.
Refunds: Delegates may request a refund of any purchased tickets until the Conference registration closes at 11:59pm BST on June 6, 2025. Up until this time, delegates will receive a full refund, minus any processing fees. No ticket refunds will be possible after June 6, 2025.
Other entry requirements: Under 18s must be accompanied by an adult at all times while on site. At the time of the Conference, all attendees must also be an active member of the Society for Animation Studies.
Publicity: By registering for the Conference, those presenting a paper and/or screening a film agree to the publication of their name, institutional affiliation, and abstract in the Conference programme, website, and any social media promoting the event.
Photography/videography: By registering for the Conference, all attendees acknowledge there may be photographs and short video clips taken of conference proceedings, which may be shared by UAL and/or the Society for Animation Studies on social media and institutional websites.
Conference programme: While all advertised speakers and events are promoted in good faith, UAL reserves the right to make changes to the Conference programme without prior written notice. Changes to the Conference programme will not be considered a legitimate reason for requesting a refund.
Attendee requirements: Dietary requirements and other accessibility requests must be outlined in the appropriate section of the registration form. Any subsequent requests or changes communicated to the Conference organisers cannot be guaranteed.
Behaviour: Harassment of Conference organisers and/or participants is not tolerated. Conference participants violating these rules may be expelled from the Conference without a refund at UAL’s discretion.
Venue capacity: All of the rooms used for Conference events have maximum capacities. While every effort will be undertaken to schedule events in appropriate spaces, entry to all panels is on a first come, first served basis, and entry may be denied to a particular panel if the capacity is reached.
Use of your personal information: UAL will only use the personal data you provide to us for the purposes of organising and administering the Conference. For further information in relation how we will use your personal data, please see the eStore Privacy Policy.
Liability: UAL shall not be liable for any injury, damage or loss to you or your property that might occur as a result of your participation in or attendance at the Conference. Nothing in these Terms and Conditions shall exclude or limit our liability for any liability that cannot be excluded or limited by law.
Events beyond our reasonable control: If it is necessary to postpone or cancel the Conference as a result of circumstances outside of UAL’s reasonable control (as detailed in clause 13 of the eStore T&Cs), delegates will receive a refund of the ticket price. The Conference organisers will not be liable for other costs – including but not limited to travel and accommodation – incurred by delegates.
